Bidder Disclosure Settings for Seller Settlements 

There may be instances where a seller needs to know who the winning bidder is for their items, especially when items are located off-site or across multiple pickup locations. 

This added flexibility allows auction houses to choose the level of bidder information shared with sellers based on their specific business preferences.

• No Disclosure – No bidder information is displayed on the seller settlement.
  
• Full Disclosure – Displays the bidder’s full name, billing company name (if applicable), and phone number.
• Generic Disclosure – Displays the bidder # and the bidder's full name 

This setting can be configured either site-wide or on an auction-by-auction basis.

Site-Wide Setting

To control bidder information visibility across all seller settlements:

1. Navigate to Settings in the top navigation bar.
2. Click Auctions, then select the Accounting tab.
3. Under Seller Settings, locate Settlement: Default strategy to disclose bidder contact info to the seller.
4. Choose one of the following options:
   • No Disclosure – Hides bidder information from the seller settlement.
   • Full Disclosure (updated to show phone #) – Displays the bidder’s full name, billing company (if applicable), and phone number.
   • Generic Disclosure  – Displays the bidder # and the bidder name.

Auction-Specific Setting

To control bidder information visibility for a specific auction:

1. Navigate to the desired auction.
2. Click the gear icon, then select Accounting.
3. Open the Accounting tab.
4. Under Seller Settings, locate
5. Settlement: Default strategy to disclose bidder contact info to the seller.
6. Select one of the following:
   • No Disclosure – Hides bidder information from the seller settlement.
   • Full Disclosure (updated to show phone #) – Displays the bidder’s full name, billing company (if applicable), and phone number.
   • Generic Disclosure (New) – Displays only the bidder # and the bidder name.

Important: Regardless of which Seller Settlement Disclosure option is selected, full winning bidder information will always be visible within the Admin UI.

The disclosure setting only affects the PDF and emailed versions of the Seller Settlement. For example, if No Disclosure is selected, bidder information will still be visible to admins and NextLot employees within the backend Admin UI, but it will not appear on the PDF or emailed version provided to the seller.
